Overview of Services

The Radiology Clinical Research Coordinators (RC)2 provide the Radiology & Biomedical Imaging Department with a team of personnel who can provide expertise in conducting clinical research studies. We support investigators with study set-up and management, data anonymization and transfers, CHR and IACUC submissions, and clinical research rates.

How To Get Started - Data Transfers (more detailed, step-by-step instructions available in our guidelines linked above)

  • Setup Your Project – Billing System

    Transfers will only be fulfilled if a project has a valid speedtype. Speedtypes usually begin with “MXXXXX”. Chartstrings (a long string of numbers separated by dashes) are not accepted by the iLab system.

    You cannot request data transfer services before:

    • a valid speedtype is available, and
    • that speedtype is assigned to your iLab account by your PI
    • if you are requesting that data be sent outside UCSF, a signed Data Sharing Agreement must be in place 
  • Input your Project information into the "Studies" Tab

1. Navigate to the Studies Tab at the top of the page

2. Click the blue ‘Initiate a new study’ dropdown and select ‘Study request’

3. Fill out the relevant study information and the Full Service Data Transfer Request Form

  • Rad CRC will be assigned

Once you submit a request, the Radiology Core will review the submission and accept the request accordingly. Based on the information provided in the form, a member of our team will follow up with an email regarding next steps. For study teams who have submitted Full Service New Study Setup Requests via Qualtrics previously, the below workflow is taking the place of Qualtrics for study intake. If you have previously submitted a Qualtrics for your study, you still need to set up your study in iLab so we can bill your study properly moving forward.

  • Place individual transfer request in QUIPC Ordering System
    • Please complete ONLY the new Study Request under the "Studies" Tab, and do not enter individual data transfers under the Service List. 
    • iLab is NOT PHI compliant, so QUIPC Ordering System will still be used by study teams to request individual image transfers.
    • All new studies need to be submitted in iLab and approved by a member of the Radiology Core, prior to submitting any requests via QUIPC.

Q: Who should I contact for financial questions/missing speedtypes/or iLab registration questions?

A: Please contact your PI/Lab Manager or Departmental Finance person. If questions are not addressed by iLab support contact ilab@ucsf.edu

 

Q: How much do data transfers cost?

A: Data transfers are charged per hour, with a 1 hour minimum. Rates are located here: RAD Core Services. Please click on the "Recharge Rate List".

  • Standard transfers are processed within 5-7 business days, average
  • Rush transfers are processed within 24-48 business hours, average
